Free Youth Sports Registration Software for Volunteer Leagues

Most registration software is priced for organizations with staff and a budget. RosterSignup is priced for the volunteer who took the registrar job because nobody else raised their hand.

Organizers pay nothing. Parents pay a small service fee per registration ($1 + 3%, capped at $8), disclosed before checkout.

What "free" means here

No trial period, no plan tiers, no seat limits, no feature gates, no annual contract. Every organizer gets the same thing:

  • Unlimited programs and registrations
  • Digital waivers with signature and timestamp
  • Online payments, deposited to your own bank account
  • Multiple age brackets per program
  • Automatic waitlists
  • Roster CSV, waiver bundle, and financial summary exports
  • Email notifications and weekly summaries

The revenue comes from the service fee parents pay at checkout. It's shown on the payment screen as its own line — nothing is hidden from your families.

Who it's built for

Volunteer-run programs, roughly 15 to 400 kids per season:

  • Recreational sports leagues (soccer, baseball, basketball, flag football, volleyball)
  • Scout troops and packs
  • PTA-organized after-school clubs and enrichment programs
  • Church and community youth programs
  • Day camps and seasonal classes

If you have paid staff, a software budget, and a league website with standings, you probably want a full league platform instead. We're not that, and we'd rather say so.

How it works

1. Create a program. Enter your organization name, the program name, dates, and registration deadline. Add age brackets — U-8, U-10, U-12, or grade levels, or skip brackets entirely. Each bracket gets its own price and capacity.

2. Share one link. Text it to your parent list, post it in your Facebook group, or print the QR code on a flyer. One link covers every age bracket.

3. Parents register. They tap the link, pick the bracket that fits their child, fill in a short form, sign the waiver, and pay — usually under two minutes, with Apple Pay or Google Pay. No account required.

4. Watch the roster fill. Your dashboard shows every registration with paid status and waiver status. Money goes to your organization's own bank account through Stripe.

Digital waivers

Waivers are signed as part of registration — typed signature, timestamp, and IP recorded, with the signer confirming they're the child's parent or guardian. Use our standard template with your organization's name inserted, or paste your own text.

Signed waivers export as a bundle whenever you need them. They're stored for seven years.

Payments

Payments go directly to your organization's bank account through Stripe. Your organization is the merchant of record — money never sits with us.

You can share your registration link before finishing payout setup. Registrations collect normally and payments process once your account is connected, so a missing bank form never stops your season from opening.

Refunds are yours to decide and issue from your dashboard, per your own policy. When you refund a registration, our service fee is refunded in full too.

What we store about children

The minimum that produces a roster: first name, last name, age bracket, program enrolled, and whether the waiver is signed.

Not stored: birthdates, addresses, photos, school names, or medical and allergy information. Medical forms stay between you and your families, handled the way you handle them now.

We built it this way because you're asking families to trust software you picked. The smallest data footprint is the easiest promise to keep.

Common questions

Is it really free for organizers? Yes. No plan, no trial, no card required to create a program.

What do parents pay? The program price you set, plus a service fee of $1 + 3%, capped at $8 per child. It's itemized on the payment screen before they pay.

Can families register more than one child? Yes — several children, in different age brackets, in a single checkout with one payment and one waiver.

What happens when a bracket fills? Additional registrations become a waitlist. If a spot opens, the next family is automatically offered it.

Can I export my data? Any time, free. Roster CSV, all signed waivers, and a financial summary.

Do parents need an account? No. They tap the link and register. They can optionally save their family's information to make next season faster.

Does it work for non-sports programs? Yes — scouts, PTA clubs, camps, and classes all work. Age brackets are optional.
