Online Sign-Up and Payment Software for Scout Troops, PTA Clubs, and Camps

Most registration software assumes you're a sports league. If you run a scout troop, a PTA after-school club, a church youth program, or a small summer camp, you have the same problem — collect sign-ups, collect money, collect permission — and none of the divisions, standings, or game schedules that come bundled with league software.

RosterSignup is registration and payment, without the league scaffolding.

The problem is the same, the shape is different

Whether it's a robotics club or a soccer season, the job is:

  • Get a list of enrolled kids with a parent contact for each
  • Collect a fee, and know exactly who has and hasn't paid
  • Get a signed permission form or waiver from each family
  • Cap enrollment, and handle the families who signed up after it filled
  • Have all of it in one place when the season ends and someone else takes over

What non-sports programs don't need is a website builder, team rosters, game schedules, or age divisions labeled U-8 through U-19.

How it works for non-sports programs

Age brackets are optional. Use grade levels (K–2, 3–5, 6–8), skill or session labels (Beginner, Intermediate; Session A, Session B), or skip brackets entirely and run a single flat program.

Each bracket sets its own price and capacity. A camp with a morning session at $150 and a full-day session at $280 is two brackets under one program and one link.

Waivers work as permission slips. Use our standard template with your organization's name inserted, or paste your own — your council's form, your district's language, your church's release. Signed with a typed signature and timestamp at registration, stored, exportable.

One link, no website needed. Text it, email it to your parent list, post it in the group, or print the QR code on the flyer that goes home in backpacks.

Families register several children at once. Two siblings in different grade-level brackets, one checkout, one payment.

Examples of how programs set it up

Scout troop annual dues and camp fees — one program per event or dues cycle, brackets by den or patrol if useful, permission slip as the waiver text.

PTA after-school enrichment — one program per session, a bracket per class (chess, art, coding) each with its own price and cap, so enrollment closes per class automatically.

Small summer camp — one program per week or session, brackets for half-day and full-day, capacity enforced per bracket with automatic waitlists.

Church youth program — one program per trip or season, flat pricing, the release form pasted in as waiver text.

Community class or clinic — a single bracket, a cap, a deadline. Nothing else.

Fees and payments

Free for organizers. No subscription, no tiers, no trial.

Parents pay the program price plus a service fee of $1 + 3%, capped at $8 per child, itemized before checkout. Payments go directly to your organization's bank account via Stripe — your organization is the merchant of record.

Refunds are yours to decide and issue from your dashboard under your own policy. When you refund a registration, our service fee is refunded too.

What we store about children

First name, last name, bracket, program, and whether the waiver is signed. That's it.

Not stored: birthdates, home addresses, photos, school names, or medical and allergy information. If your program collects medical or dietary forms — most camps and troops do — that stays between you and your families, handled the way you handle it now. You can add a link to your own form so parents see it after they register.

For programs that answer to a council, a district, or a church board about how family data is handled, this is usually the shortest conversation you can have: we store less than the sign-up sheet on the wall.

Common questions

Do I need a website? No. The registration link works on its own.

Can I use my own permission form? Yes — paste your own waiver text and it's used instead of our template.

What if my program has no age groups? Skip brackets. One program, one price, one cap.

What if I run several sessions? Each session can be its own bracket with its own price and capacity, all under one link.

Can I export everything? Any time, free — roster CSV, all signed waivers, financial summary.

What happens when it fills? Later registrations become a waitlist, and the next family is offered automatically if a spot opens.
